Small Business Phone System Planning Checklist

The right phone setup follows the way calls move through your business. Start with the caller’s experience and your team’s responsibilities before choosing devices or comparing plans.

Map what happens to a call

Write down what callers should hear during business hours, when the team is busy and after closing. Identify who answers first, who backs them up and where unanswered calls go.

Consider whether a simple ring group is enough or whether callers need a menu. An auto attendant should make it easier to reach someone; avoid adding choices that your team cannot maintain.

Count people, locations and devices

List the people who need an extension and where they work. Note shared phones, reception areas, remote staff and multiple locations. Ask which desktop phones, headsets or apps fit each role.

Describe the Internet and office network available at each location. If calls are already unreliable, include the symptoms and timing. A phone service change alone may not address an underlying connection problem.

Review numbers and special requirements

List the business numbers you want to keep and the provider that currently controls them. Porting eligibility and the transfer process must be checked before a switch is scheduled. Coordinate any cancellation with the providers handling the move.

Mention texting, faxing, emergency-calling needs, call recording or connections to other systems before selecting a plan. Availability, registration, usage charges and supported devices depend on the service and the requirements.

Compare the complete scope

Ask what the proposed price includes: users, numbers, equipment, setup, calling usage and support. Identify one-time work and ongoing charges separately so competing proposals can be compared fairly.

Agree on who updates greetings, adjusts routing and helps when a team member changes roles. Those everyday tasks matter as much as the initial installation.

Test the experience before calling it finished

Plan checks for incoming and outgoing calls, transfers, ring groups and voicemail. Confirm that staff know how to use the features they need and whom to contact for assistance.
